AI Tools for Small Business: The 10 We Actually Use

AI tools for small business: the AI Tool Map from MCNM Marketing's free business success training

Bonus lesson in Focus on What Pays, MCNM Marketing’s free business success training for service business owners.

The best AI tools for small business are the ones that take a real job off your plate this week. At MCNM Marketing, our Las Vegas agency, we use 10 of them to answer leads, draft review replies, write SOPs and make content. Here’s what each one does, which lesson it speeds up and what it costs to start.

Picture a landscaper in Summerlin at 9 p.m. He’s still typing estimate follow-ups, rewriting one review reply for the third time and trying to make a flyer for spring cleanups. None of that needs his judgment. Each job can start with an AI draft that he checks and sends.

That’s the rule for this bonus lesson: AI does the first draft and the repeat work. You keep the judgment, the prices and the relationships.

What Are the Best AI Tools for Small Business?

There’s no single best AI tool. There’s a best tool for each job. Start with the Automate list from your business owner time audit in Lesson 1, then match each task to a row in the map below.

Most of these tools have a free plan, so you can test one on a real task before you pay. Test one at a time.

The 10 AI Tools We Use at MCNM Marketing

Here’s what each tool does, how it fits a service business and the cheapest way to start. We checked every price on the vendor’s own site on October 20, 2026. Prices change often, so check before you buy.

1. Claude: Our Everyday AI Assistant

Claude is the AI assistant we use most. It reads the PDFs, spreadsheets and photos you give it, then drafts, summarizes or checks the math. Projects keep the background for related chats in one place, like your price list and service area.

We ran our own website audit with Claude working alongside our team. On our sister site, we wrote up 40 days of building with Claude across seven client WordPress sites.

Cost to start: Free plan. Pro is $20 a month, or $17 a month billed yearly.

2. HighLevel AI Employee: Answers Leads and Drafts Review Replies

HighLevel’s AI Employee is a set of AI tools inside the HighLevel CRM. Voice AI answers calls, qualifies callers and books appointments. Conversation AI answers texts, email, Facebook, Instagram, WhatsApp and website chat, and can book on your calendar. Reviews AI drafts review replies, and Content AI writes text and images.

Our AI marketing agents are built on HighLevel and HubSpot. Our tip: start with suggested replies that a person approves. HighLevel also has an Auto-Pilot mode that sends on its own, so save it until the drafts are ones you’d send as written.

Cost to start: Unlimited AI Employee is $97 a month per location, subject to fair use, on top of your HighLevel plan. A $50 Growth plan comes with set monthly allowances. Phone charges are extra. Explore AI Employee (affiliate link), or compare every plan in our GoHighLevel pricing guide.

3. ElevenLabs: The Voice on Our Phone Line

When you call MCNM or use the voice or chat assistant on our site, an AI assistant powered by ElevenLabs may handle the conversation, as our privacy policy explains. ElevenLabs’ voice agents, now called ElevenAgents, can answer calls, figure out what the caller needs, and book, reschedule or confirm appointments.

Its text to speech also turns a written script into a natural-sounding voiceover for your videos.

Cost to start: Free plan. Paid plans start at $6 a month. Before an AI voice calls anyone, read the rules below.

4. Descript: Record a Task Once, Get the Transcript

Descript transcribes your recordings automatically, so you can edit audio and video by editing the text, like a document. It also records your screen, webcam and microphone.

That makes it a natural fit for the SOP template in Lesson 7. Record yourself doing a task once, saying each step out loud, and you have a transcript ready to turn into an SOP.

Cost to start: Free plan with 60 media minutes a month. The Hobbyist plan is listed at $16 or $24 per person a month, depending on billing.

5. Notion: One Home for Your SOPs

Notion keeps docs, wikis and projects in one workspace, so it makes a good home for an SOP library your team can search. Notion AI can draft text, summarize meetings with AI Meeting Notes and answer questions from your pages, with citations.

Cost to start: Free plan, which includes a trial of Notion AI. Full Notion AI comes with the Business plan, listed at $20 per member a month.

6. Canva: Quick Social Graphics

Canva is a design tool you can use free. Its Canva AI features include Magic Write for text and Magic Design for layouts. Canva Pro adds unlimited Background Remover and Magic Resize, which turns one design into the sizes each platform needs.

Cost to start: Free plan. Free accounts get limited uses of some AI tools, and Pro gives you more.

7. Adobe Express: Flyers With Firefly Built In

Adobe Express is an all-in-one app for social posts, flyers, videos and photos, with Adobe’s Firefly AI built in. You can generate an image from a text prompt, or add and remove objects in a photo.

Adobe says its own Firefly models are trained on “licensed content from Adobe Stock and public domain content where copyright has expired.” The Firefly app also offers partner models that Adobe doesn’t develop, and Adobe leaves it to you to decide whether one suits your project. So check which model made an image before you put it in an ad. Our founder holds Adobe Creative Educator credentials.

Cost to start: Free plan with limited generative credits. Premium is $9.99 a month with 250 generative credits.

8. OpusClip: One Video, Many Short Clips

OpusClip cuts a long video into short clips, adds captions, resizes them for each platform and gives each clip a Virality Score. Paid plans can post straight to YouTube Shorts, TikTok and Instagram Reels.

Record one 10-minute how-to video, like “3 signs your AC needs service,” and let it find the clips worth posting. You still pick which ones go out.

Cost to start: Free plan with 60 credits a month and a watermark. Starter is $15 a month.

9. Gamma: Proposals and One-Page Plans

Gamma turns a prompt or your notes into a presentation, document, website or social post. Use it to turn your 90-day business plan notes from Lesson 8 into a one-page doc your team can see, or to clean up a proposal.

Cost to start: Free plan with 400 one-time credits.

10. Semrush: See How Google and AI Answers Find You

Semrush is a marketing platform for keywords, rankings and site health. Its Site Audit runs more than 140 technical and on-page checks. Its AI Visibility Toolkit shows how ChatGPT, Google’s AI Overviews and AI Mode, Gemini and Perplexity mention your brand compared with competitors. MCNM is a Semrush Agency Partner.

Cost to start: Free account with 10 reports a day. The SEO plan is $139 a month. Try Semrush Site Audit (affiliate link).

We keep our own contacts in HubSpot. The free AI Engine plugin lets Claude read and edit our WordPress sites through MCP, a standard way to connect AI assistants to other software. Give any AI tool the least access it needs, and start read-only where you can.

How to Test an AI Tool in 30 Minutes

Run this test on one task before you pay for anything. It works with any tool on the list.

Step 1: Pick One Task From Your Automate List

Do this: Open your time audit from Lesson 1 and pick one task that repeats every week. Good first picks: review replies, follow-up texts and a weekly social post.

Why it pays: A weekly task pays you back every week. A one-time task pays once.

Common mistake: Starting with your hardest problem. Start with the most boring one.

Step 2: Give the AI the Job, the Facts and the Rules

Do this: Paste this into the AI assistant you use, fill in the brackets and add only the facts it needs:

You are helping a [type of business] in [city].

Task: [what you need, like "draft a reply to this Google review"].

Facts: [paste only what it needs, with customer names, phone numbers and private details removed].

Rules: [length, tone, words to avoid]. Don't invent facts, prices or promises. If something is missing, ask me instead of guessing.

Why it pays: Clear facts and rules get you a draft you can use, not one you have to rewrite.

Common mistake: Pasting customer names, phone numbers, health details or passwords. Strip them out first.

Step 3: Check Every Draft Before It Goes Out

Do this: Read the draft the way your customer would. Check every name, price, date and promise against your own records.

Why it pays: AI can sound sure and still be wrong. A quick check protects your name.

Common mistake: Letting a tool send on its own before you’ve reviewed a few weeks of its drafts.

Step 4: Time It, Then Keep It or Cut It

Do this: Write down how long the task took by hand and how long it took with the tool. After two weeks, keep the tool if the hours it saves are worth more than it costs. Your owner hourly value from Lesson 1 does the math, and the result belongs on your weekly scorecard.

Why it pays: Subscriptions pile up. A keep-or-cut date stops you from paying for tools you’ve stopped using.

Common mistake: Signing up for five tools at once. Test one, then the next.

Rules for Using AI in a Local Business

AI doesn’t change the rules. It just makes them easier to break fast. These are the five we follow.

  • Get consent before an AI voice calls anyone. In February 2024, the FCC ruled that calls made with AI-generated voices count as “artificial” under the Telephone Consumer Protection Act, so outbound AI voice calls need the person’s prior express consent. Recording and disclosure rules vary by state, so read our guide to AI voice and texting rules in Nevada, California and Arizona first.
  • Never use AI to write reviews. The FTC’s rule on fake reviews covers reviews by someone who doesn’t exist, “such as AI-generated fake reviews.” Ask real customers instead, as in Lesson 4.
  • Don’t mass-produce pages to game Google. Google says using automation, including AI, to produce content mainly to manipulate search rankings violates its spam policies. Its spam policies also name using generative AI to make many pages without adding value for users. Add your own photos, prices and job details to anything you publish.
  • Keep private data out. Strip names, phone numbers and passwords before you paste. On Claude’s Free and Pro plans, you choose in your privacy settings whether your chats help train its models. Clinics and med spas: HHS says a cloud provider that handles patient information for you must sign a business associate agreement (BAA). Our rule is to treat AI tools the same way: no BAA, no patient details.
  • A person checks anything a customer will see. In BrightLocal’s 2026 survey, generic or templated review replies put off 50% of consumers. Let AI draft, then add the detail only you know.

When to Hand AI Setup to Us

Testing a chat tool on one task is a quick job. Connecting AI to your phones, calendar, CRM and review requests takes longer, and that’s where mistakes cost the most.

Our AI marketing agents answer calls, reply to texts and chats, book appointments and hand off to a person when they should. Our GoHighLevel setup builds missed-call text-back, booking and review requests in 10 business days. Not sure where AI fits in your business? Start with a free marketing audit or call (702) 608-4226.

Rather run it yourself? The Business Success Toolkit ($47) adds an editable AI Tool Map that tracks what each tool costs and the hours it saves, plus the full AI prompt library. All eight lessons are on the free business success training page.

Frequently Asked Questions

What is the best AI tool for a small business?

There’s no single best tool, so pick by the job. A general AI assistant like Claude covers writing, summaries and math. A CRM with built-in AI, like HighLevel, covers calls, texts, booking and review replies. Start with the task that eats the most hours on your time audit, and test one tool for two weeks.

Are there free AI tools for small business?

Yes. Claude, ElevenLabs, Descript, Notion, Canva, Adobe Express, OpusClip and Gamma all have free plans, and Semrush has a free account with daily limits. Free plans cap how much you can use or which features you get, so test on a real task first and pay only for the tool that saves you the most time.

Is it legal to use AI to answer business calls?

Often, with care. The FCC says calls made with AI-generated voices count as artificial under the TCPA, so outbound AI calls need prior express consent. Recording and disclosure rules vary by state, so check the rules in Nevada, California or Arizona before you turn on a voice agent. This is not legal advice.

Can I use AI to reply to Google reviews?

Yes, as a first draft. HighLevel’s Reviews AI can suggest replies you edit before you send them, and any AI assistant can draft one. Add a detail only you would know and keep private information out. Never use AI to write the reviews themselves. The FTC’s fake review rule covers AI-generated fake reviews.

Does Google penalize AI-generated content?

Google says using automation, including AI, to produce content mainly to manipulate search rankings violates its spam policies. Its spam policies also name using generative AI to make many pages without adding value for users. Use AI for drafts, then add your own photos, prices, local details and expertise before you publish.
